Description
The primary purpose of this position is to provide efficient and effective administrative and clerical support to the Dining Services Department and Managment Team. This position works 64 hours a pay period.
Required Skills
Comprehensive knowledge of typing, filing, and office machines General knowledge of accounting practices and procedures Basic knowledge of cash receipts and disbursements Basic knowledge of letter construction and correspondence Possesses a pleasant telephone manner and ability to relate well to others Ability to handle a wide variety of tasks simultaneously Possessess good judgement in working with residents and fellow staff
Previous Experience
High school education and three years experience in clerical or secretarial function or an equivalent combination. Extensive knowledge and experience with daily computer systems input, preferable Microsoft Office systems, Digital Dining, Adobe, and menu and recipe programs.
Duties
Generates, types, and/or reproduces menus for all the dining rooms including bulletin board postings and spreadsheet modification as needed. Generates, types, and/or reproduces correspondence and other information including but not limited to: department policies and procedures, notes and minutes from meetings, signs, notices, forms, production sheets, portion control sheets, function sheets, etc. Prepares departmental billing for catered and internal functions Maintain files for department according to established procedures Handles DDS daily, weekly, and end-of-month accounting procedures. Writing and coding invoice transmittals for individual invoices. Recording same and submitting them to accounting department for payment. Reconcile monthly statements. Requisitions office supplies and distribute Recieves, by telephone, residents' menu choice for tray service Assigns lockers for all departments and maintains records Maintains Key Chart, records and is accountable for contents Fills in for manager on duty and/or dining services staff personnel in urgent situations as needed Represents department at computer system user group meetings Runs POS Reports and responsible for going to the bank for change Calculate Taxes and enter service charges as applicable Prepare cash drawer for business Reconcile cash drawer Process general purchase orders for department Responsible for communicating with Vending Maching company and assist other staff with refunds if necessary Assist service manager with reservations for special events including but not limited to updating calendar of events, reserve location of function, prepare and distribute function sheet to all effected departments. Assist with "sick tray" system Answer incoming calls, refers to appropriate supervisor and/or records messages Assist with project production for various departmental and organizational needs as necessary Maintain competency in the hardware and software programs used in the completion of job assignments Promote teamwork and cooperation among staff and with other operational departments Participate in staff functions including departmental and annual mandatory continuing education
